Foreign Pilot Recruitment Support in Shanghai (2017–2020)

On-Site Coordination & International Project Support

From 2017 to 2020, I worked as a personal assistant and on-site coordinator in Shanghai, supporting foreign pilots who travelled to China to participate in airline recruitment programs.

In cooperation with the headhunting agency Pilot for Pilots and Spring Airlines, I provided structured logistical and communication support during intensive one-week recruitment processes.

At that time, China faced a significant pilot shortage. Experienced international captains and first officers were invited to Shanghai for interviews, simulator checks, and medical examinations.

For many candidates, this was their first visit to China. They were unfamiliar with local systems, medical procedures, and administrative processes. My role was to ensure their recruitment week ran smoothly, efficiently, and without unnecessary stress.

My Role as On-Site Coordinator in Shanghai

As a local project support specialist, I was responsible for thorough logistical follow-up and clear communication throughout the entire process.

My responsibilities included:

  • Airport pickup and local transportation coordination

  • Clear explanation of daily schedules and recruitment procedures

  • On-site interpretation during interviews, hospital visits, and simulator assessments

  • Assistance with documents, contracts, and required signatures

  • Support during medical examinations and communication with Chinese medical staff

  • Real-time troubleshooting and schedule adjustments

I acted as a bridge between international professionals and Chinese institutions, ensuring that all parties communicated clearly and that every step of the process took place at the right time and in the right location.

Relocation Support After Successful Hiring

For pilots who were successfully hired, I also provided relocation support in Shanghai.

This included:

  • Initial orientation in the city

  • Practical assistance during their first weeks

  • Help with communication and everyday matters

  • Guidance in navigating local systems

My goal was always to create a smooth transition from recruitment to relocation.

Results & Professional Impact

Structured coordination and reliable follow-up significantly improved the overall candidate experience.

  • International pilots could focus fully on their performance

  • Recruitment weeks were organized efficiently and professionally

  • Communication between HR departments and candidates remained smooth

The HR department of Spring Airlines valued this structured approach and later recommended me to other agencies, where I continued supporting additional international professionals.

Project Conclusion

The project concluded in 2020 due to the COVID-19 pandemic and international travel restrictions.

However, it remains an important example of my experience in local project support, cross-cultural coordination, and detailed logistical management in Shanghai.
